Reducing Cloud Attachment Storage #101136

https://thebrain.zendesk.com/agent/tickets/101136

Hello Robert,

Thank you for reaching out.

You can reduce cloud storage usage without losing your attachments, but the safest approach is to first identify which Brains and which attachments are using the most space.

First, please check your cloud storage usage here:

Main Menu > Settings > User > Cloud Capacity

That should help show how much cloud storage is being used and which Brains are taking the most space.

After that, open the larger Brain and use Reports to identify large attachments:

Reports > Advanced Reports > Attachment Size > Large

From there, you have a few options.

If you want to keep the files inside TheBrain and synced through TheBrain Cloud, you may need a service plan with enough cloud storage for those attachments:

If you want to reduce TheBrain cloud storage usage, you can move large attachments outside TheBrain first, such as to a local folder or a cloud storage service like Google Drive, OneDrive, or Dropbox. Then you can add a link to the file in TheBrain instead of storing the full file as an internal attachment.

Before removing any attachment from TheBrain, please make sure you have a separate saved copy of the file outside TheBrain.

For future files, you can also change the drag-and-drop behavior so files are linked instead of automatically stored as attachments:

Main Menu > Settings > User > General > On Drag and Drop > Link

That way, future dragged files can be linked to TheBrain instead of added as internal attachments that use cloud storage.

Best regards,

John
